Please read these Terms & Conditions carefully before booking a trip with Your Adventure Diaries, hosted by Tanya. These Terms, along with the trip-specific information provided on each adventure page and any required liability waiver, form the agreement between you and Your Adventure Diaries.
By booking a group trip with Your Adventure Diaries, you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions.
If you do not agree with these Terms, you should not book or participate in a Your Adventure Diaries trip.
1. Definitions
The terms “We,” “Us,” “Our,” and “Your Adventure Diaries” refer to Your Adventure Diaries, owned and operated by Tanya.
The terms “You,” “Traveler,” “Participant,” “Guest,” “I,” or “Me” refer to the person booking and participating in the trip.
The terms “Service Providers” or “Suppliers” refer to independent third parties providing services related to the trip, including but not limited to accommodations, transportation providers, local guides, trekking companies, restaurants, activity operators, and other vendors.
2. Booking & Reservations
To reserve your spot on a Your Adventure Diaries group trip:
- A completed registration form must be submitted.
- A required deposit must be paid.
- You must agree to these Terms & Conditions.
- Your reservation must be confirmed by Your Adventure Diaries.
Your reservation is not guaranteed until confirmation has been provided.
By booking a trip, you confirm that:
- You have reviewed the trip itinerary and requirements.
- You understand the physical demands of the adventure.
- You accept the payment schedule and cancellation policy.
- You understand that adventure travel involves inherent risks.
If you are booking on behalf of another traveler, you are responsible for ensuring that each participant reviews and agrees to these Terms & Conditions.
3. Trip-Specific Information
Each adventure has its own dedicated trip page containing important details, including:
- Trip dates
- Pricing
- Deposit requirements
- Payment schedule
- Cancellation deadlines
- Itinerary
- Included and excluded services
- Fitness requirements
- Packing recommendations
- Accommodation details
- Visa and travel requirements
Trip-specific information provided on the applicable trip page is considered part of this agreement.
4. Payments & Final Balance
Payment schedules vary by trip and will be provided on the individual trip registration page.
By booking, you agree to make all required payments by the stated deadlines.
Failure to make payments on time may result in cancellation of your reservation and forfeiture of payments already made.
You remain responsible for all payments due according to the agreed payment schedule unless otherwise stated in the applicable cancellation policy.
5. Cancellation & Refund Policy
Each trip has its own cancellation deadlines and refund terms listed on the trip registration page.
Deposits are generally non-refundable unless otherwise stated.
After the final payment deadline, payments are typically non-refundable because arrangements with hotels, transportation providers, guides, and other vendors may have already been secured.
If you choose to cancel, withdraw, arrive late, leave a trip early, or cannot complete an activity for any reason, refunds will not be provided unless specifically outlined in the trip cancellation policy.
We strongly recommend purchasing travel insurance with trip cancellation and interruption coverage.
6. Travel Insurance Requirement
Travel insurance is required for all Your Adventure Diaries group trips.
Your policy should include coverage for:
- Emergency medical expenses
- Emergency evacuation
- Trip cancellation and interruption
- Travel delays
- Lost or damaged baggage
Certain adventures may have additional requirements, such as high-altitude trekking coverage.
You are responsible for obtaining appropriate coverage before departure.
Your Adventure Diaries is not responsible for expenses resulting from illness, injury, evacuation, trip interruption, cancellation, or other unforeseen events.
7. Passports, Visas & Travel Documents
You are solely responsible for obtaining and maintaining all required travel documents, including:
- Valid passport
- Required visas
- Entry permits
- Health documentation
- Any destination-specific requirements
For international trips, passports typically must be valid for at least six months beyond the date of travel unless otherwise specified.
Your Adventure Diaries is not responsible for denied entry, missed flights, delays, additional costs, or losses resulting from incomplete, expired, or missing travel documents.
8. Health, Fitness & Ability to Participate
Many Your Adventure Diaries trips involve physical activity, including hiking, backpacking, trekking, kayaking, climbing, or other outdoor adventures.
You are responsible for determining whether you are physically and mentally prepared to participate.
You agree to:
- Consult a medical professional when appropriate.
- Disclose relevant medical conditions, allergies, or limitations.
- Bring and manage your own medications.
- Follow safety instructions provided by Your Adventure Diaries, guides, and local operators.
Some trips may involve:
- Long hiking days
- High altitude
- Remote locations
- Uneven terrain
- Limited medical facilities
- Challenging weather conditions
Trip-specific fitness requirements will be provided on each adventure page.
9. Accommodations
Accommodations vary depending on the destination and adventure.
Depending on the trip, accommodations may include:
- Hotels
- Lodges
- Guesthouses
- Campsites
- Shared accommodations
Travelers acknowledge that accommodations outside the United States may differ from expectations regarding amenities, accessibility, size, and services.
Room assignments may be shared unless a private room upgrade is available.
10. Third-Party Service Providers
Your Adventure Diaries works with independent Service Providers to deliver trip experiences.
These may include:
- Local guides
- Transportation companies
- Hotels
- Restaurants
- Activity providers
- Trekking operators
Your Adventure Diaries does not own or control these businesses and is not responsible for their actions, delays, cancellations, errors, or omissions.
We will make reasonable efforts to work with reputable partners and resolve issues when possible.
11. Changes to Itinerary
Adventure travel requires flexibility.
Your Adventure Diaries reserves the right to modify itineraries when necessary due to:
- Weather conditions
- Trail conditions
- Safety concerns
- Government regulations
- Transportation issues
- Natural events
- Circumstances outside our control
We will make reasonable efforts to preserve the overall experience whenever changes are required.
12. Force Majeure
Your Adventure Diaries is not responsible for delays, cancellations, or changes caused by circumstances beyond our reasonable control, including but not limited to:
- Natural disasters
- Severe weather
- Pandemics
- Government restrictions
- Political instability
- Transportation disruptions
- Acts of terrorism
- Civil unrest
- Other unforeseen events
Additional costs resulting from these circumstances are the responsibility of the traveler.
13. Participant Conduct
Your Adventure Diaries is committed to creating a safe, respectful, and enjoyable environment for all travelers.
Participants agree to:
- Respect fellow travelers, guides, staff, and local communities.
- Follow safety instructions.
- Follow local laws and customs.
- Avoid behavior that creates safety concerns or disrupts the group experience.
Your Adventure Diaries reserves the right to remove any participant whose behavior is unsafe, disruptive, illegal, or harmful to others.
No refunds will be provided if a participant is removed from a trip due to misconduct.
14. Personal Belongings
You are responsible for your personal belongings, including luggage, electronics, valuables, medications, and personal equipment.
Your Adventure Diaries is not responsible for lost, stolen, or damaged personal items.
15. Photography & Media Release
By participating in a Your Adventure Diaries trip, you grant permission for photos and videos captured during the adventure to be used for promotional purposes, including:
- Website
- Social media
- Marketing materials
- Future trip promotions
If you do not wish to appear in promotional content, please notify us in writing before departure.
16. Liability Waiver
Participation in Your Adventure Diaries trips requires acceptance of a separate Liability Waiver and Release Agreement.
Adventure travel involves inherent risks, including injury, illness, accidents, property loss, and other unforeseen events.
By participating, you acknowledge these risks and agree to the terms outlined in the required waiver.
17. Privacy
Your Adventure Diaries respects your privacy.
Personal information collected during registration will be used only for purposes related to:
- Trip planning
- Communication
- Safety
- Accommodation arrangements
- Emergency response
- Business operations
Your information will not be sold.
Information may be shared with necessary Service Providers when required to operate the trip.
18. Dispute Resolution & Governing Law
These Terms & Conditions shall be governed by the laws of the State of Hawaii.
Any disputes arising from these Terms or participation in a Your Adventure Diaries trip will first be addressed through good-faith communication.
If a resolution cannot be reached, disputes will be handled according to applicable laws.
19. Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will remain in effect.
20. Entire Agreement
These Terms & Conditions, the applicable trip page details, payment terms, and required liability waiver represent the complete agreement between you and Your Adventure Diaries regarding your participation in a group trip.

By booking a Your Adventure Diaries group trip, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
